Our EEA representative
If you are located in the EEA or EU, you can contact DataRep if you wish to make a request under EU GDPR.

When mailing inquiries, it is essential that you mark your letters for ‘DataRep’ and not ‘RCPCH’, or your inquiry will not reach them. Please refer clearly to RCPCH in your correspondence. On receiving your correspondent, RCPCH is likely to request evidence of your identity, to ensure your personal data and information connected with it is not provided to anyone other than you.

What Information will we be collecting?
The purpose of this survey is to get your views. We will only ask you to provide information about yourself. Some of the information provided will include your personal data.
Why do we collect this information?
Completion of this survey is voluntary, however we do encourage all members to submit data in their and the College’s legitimate interest as it will help to improve our services. By completing this survey, you are agreeing for the raw data that we collect, which includes personal information about yourself, to be used for the following purposes:
- Understand our membership and improve our services
- Update gaps in your membership account to assess inclusivity and diversity within our membership
- Share the results in aggregated format with all RCPCH members, as part of a summary report and action plan
We also collect data about protected characteristics. If you choose to submit this information, it will be added to your membership record to support our efforts to become a more inclusive and diverse organisation. It is in the public interest for us to do this in order to promote equality and diversity within the College. You can update your record at any time by completing the diversity monitoring form (log in required).
Who might we share your information with?
Your responses will be stored securely on the RCPCH network and only accessed by RCPCH staff. Your personal data will not be transferred outside of the EU.

We will never publish raw data. If we want to publish data, any data that could be used to identify you will be removed or changed and only anonymised data will be used.
What rights do I have?
You have several rights in relation to the data we process about you:
- You have the right to request a copy of the information we hold about you.
- You have the right to change any factual errors or inaccuracies.
- You can withdraw consent and ask that we delete your personal data. Please contact membership@rcpch.ac.uk.
- You can ask that we restrict the processing of your personal data so we only store it but undertake no further processing.
- You have the right to object to processing.

All personal data will be processed in accordance with data protection legislation and we have a legal duty to protect any information we collect from you. We have measures in place to ensure your data is securely and safely stored. You do have the right to complain to the ICO if you have concerns about the way your personal data is being handled: casework@ico.org.uk.
How long do we keep hold of your information for?
The raw survey data will be kept until the report summary report has been approved and published. After this, we will only keep anonymous data that is necessary for historical or research purposes until it is no longer required for this purpose.
If you choose to submit data about your ethnicity and if you have a disability, this will be added to your membership record in order to assess the inclusivity and diversity of our membership. This is confidential and will only be visible to certain RCPCH staff and yourself – it will never be shared or published in a way that could identify you.
You can view and update the personal information in your member record at any time by logging into your online account on our website.
