RCPCH webinars - privacy notice

Protecting the privacy and personal data of people who attend our webinars is of utmost importance to us. This privacy notice explains how the RCPCH uses your personal data and ensures it remains secure and private, in line with data protection laws.

What information do we collect about you?

When you register for our webinars, whether a single webinar or an annual course, we will collect your personal data to confirm your membership (where applicable) and to enable us to send you link(s) to the webinar(s) for which you have registered.  

If you register for a course of webinars, we will send you a joining link approximately 1 week before each session.  These emails will each include an option to opt-out of the course.  If you opt-out, we will remove you from the course and delete your data.

Why do we collect this information?

Data protection law requires that we have one or more of the following lawful bases to process your information:

•    “Contractual Obligation” – where we need to process your personal data either to take steps to enter into a contract with you or to fulfil a contract we already have with you
•    "Legitimate interest" - where we have assessed that the benefits of us processing your data are legitimate and not outweighed by your interests or legal rights.
•    “Consent” – where you have agreed to share your personal data.

We collect and process your personal data for the following purposes:

  • To verify your membership and/or eligibility to attend the webinar(s) (legitimate interest)
  • To send you link(s) to the webinar(s) for which you have registered (contractual obligation)
  • To send you links to recordings of webinars after each event (legitimate interest)
  • To collect attendance data during the webinar (legitimate interest)
  • To request feedback on each webinar to enable us to continually improve our offering (legitimate interest) 
  • To provide you with a certificate of attendance after the webinar (contractual obligation)
  • Where you have opted-in, to contact you regarding participation in a working group (consent)

Who might we share your information with?

We will only ever share your data where we have a legal reason to do so. Your personal data will be shared internally with the team organising the webinar, and where you have opted-in, with the team organising the working group.

How long do we keep your data for?

If you register for a single webinar, we will delete your data as soon as we have sent the webinar feedback form to you, unless you have opted-in for further contact. If you register for a course of webinars that runs throughout the academic year, we will keep your data for the whole academic year and will securely delete your data 6 months after the last webinar you attend.  If you have opted-in to participate in a working group, we will retain your data for the duration of your participation.

If you no longer wish to attend the webinar(s) for which you have registered, or participate in a working group, you can email the relevant team to tell them and they will delete your personal data.
