We want to be completely open about how we use and protect your data. This page links to the privacy notices for all College activities and for associated organisations. We also link to our page that explains the General Data Protection Regulation (GDPR) and your data rights.

Introduction

We want to help everyone understand data protection, why it is important, what the law is and how we protect your data in line with the law.

Understanding GDPR and your data rights - This has information on what a privacy notice should tell you, a glossary of common terms used in privacy notices, information on the lawful or legal bases for processing personal data and information on your rights over your personal data.

Data Protection and Confidentiality - This is where we explain our approach to data protection and confidentiality  all of our data processing.

For EEA and Swiss residents - The College does not have an office outside the UK. This page gives the in-country contact details for DataRep, which manages data requests for the RCPCH from residents of the EEA and Switzerland.

Membership

Membership - For RCPCH members of all membership types, including Fellows. This privacy notices describes we how use any information you give to us as a member, such as your membership application, certificate and ceremony, and subscription

Awards - If you are submitting for the PAFTA or nominating someone for an RCPCH award, read this privacy notice to understand how and why we process your data. If you have been informed that you have been nominated for an RCPCH Award, all the information on how and why we use your data is in this privacy notice.

Working groups - If you apply to participate in a College working group, or already participate in one, this privacy notice explains how and why we use the data you give us.

Thrive Paediatrics - If you provide resources for our Thrive Paediatric Resource Hub, you should read this privacy notice.

Equality, diversity and inclusion - The College requests EDI data to understand the demographic mix of our members and ensure that we maintain equality of opportunity and treatment for all members. It is not mandatory to provide this special category data (all questions offer a "prefer not to say" option), but if you do, this privacy notice provides a detailed explanation of how and why we process your personal data.

Surveys - The College runs a variety of surveys to seek member input and feedback. If you participate in our surveys, this privacy notice details how we process your data when you do so.

Clinical guideline development - If you participate in developing clinical guidelines, please read this privacy notice to understand how we process your data.

Education, examinations, training and CPD

Examinations - For exam candidates, examiners, hosts and candidate sponsors, both in the UK and overseas, of our examinations, including theory exams, MRCPCH Clinical and Diploma of Child Health Clinical exam.

Courses and Events - For anyone attending an RCPCH course or event. This privacy notice details how and why we process your personal data when you register and attend.

Courses waiting list - If you are on a waiting list for any of our courses, this privacy notice explains how and why we process your data.

RCPCH ePortfolio - Trainees, those in the CESR pathway, educational supervisors, and other paediatric clinicians have their CPD, training, and assessment data stored within our ePortfolio platform. To understand how and why we process your data in ePortfolio, please read the privacy notice below.

START - For members applying for and taking the Specialty Trainee Assessment of Readiness for Tenure (START), and the clinicians assessing them.

CPD approval and endorsement privacy policy - For organisations and individuals applying for for CPD (continuing professional development) or RCPCH endorsement, on how we process your personal data.

RCPCH Learning - For all users of RCPCH Learning, our educational website, on how and why we process your data.

For parents and carers and young people

Where the RCPCH collects children or young peoples' personal data, we want to be very clear about what we are collecting and why. Below you can find the privacy notices relating to the work we do that requires us to process children and young peoples data.

NPDA for Children and Young People We have created a privacy notice specifically for children and young people so you can understand how we use your data for the NPDA.

Quality Improvement

QI Community - If you are interested in joining our QI Community, hosted on Hexitime, we explain here how and why your data is processed.

Invited Reviews - This privacy notice explains how and why we process the data of everyone who participates in the Invited Reviews. Healthcare Organisations who commission the service, reviewers, and participants and interviewees.

Audit Platform Users - Members of clinical teams who enter data for Epilepsy12 and NPDA should read this privacy notice. If you enter data for the NNAP, please read the NNAP privacy notice.
