RCPCH Working Groups Privacy Notice

Protecting the personal information of people who wish to participate in our working groups is highly important to us.

The following explains we use any information you give to us when you express an interest in joining, or apply to join, a RCPCH working group, and the way we protect your privacy and to comply with UK Data Protection legislation.

Why do we collect your personal information?

We collect and process your personal data when you complete an Expression of Interest form, regarding participation in a College working group.

The legal basis for doing this is:

"Legitimate Interest” – where we have assessed that the benefits of us processing your data are legitimate and not outweighed by your interests or legal rights.

We process personal data for the following purposes:

  • To contact you with information about upcoming working groups and offer you the opportunity to participate
  • To inform you about upcoming training events related to the project you are involved in
  • To support the College’s work of improving medical practice, shape policy, set educational standards and empower paediatricians across the UK.
  • To be able to identify the source of consultation comments.

Who might we share your information with? 

Your contact details will be shared within RCPCH staff teams, where necessary and in our legitimate interests, to facilitate communication, collaborative working and meeting organisation.

How long do we hold your information for?

We put security measures in place to ensure that your information is securely stored. 

We will keep your personal data for the duration of your participation in the working group.  We will then dispose of your information by securely deleting all the data you have provided for the purposes of this project from our systems. If you no longer wish to participate in a working group, or be contacted about our working groups, please inform the relevant team, and they will securely delete your data from our systems.

Transferring information outside of the UK

To provide some products and services we, or our data processors, may transfer and process information in countries outside of the UK. Some of these countries, such as those in the EEA, will have an officially recognised equivalent level of protection to the UK (adequacy decision). A list of these countries can be found via the ICO website. Where there is no adequacy decision, we will take all reasonable steps necessary to ensure that your information is protected by having in place a recognised safeguard with our partners and suppliers, such as regulatory approved Standard Contractual Clauses, Binding Corporate Rules or Codes of Conduct.

How to complain

If you are unhappy with how we are using your personal data, you should contact us in the first instance so that we can understand and try to resolve your concern. If we can't resolve the issue you have the right to complain to the Information Commissioners Office (ICO). The ICO is the UK's independent body set up to uphold information rights.
