Clinical Guidelines Programme - Privacy Notice

Protecting the privacy and data of clinicians who participate in the development of clinical guidelines and other resources, including engaging in formal consultation on documents we produce, is of utmost importance to us. This privacy notice explains how the Clinical Guidelines programme at the Royal College of Paediatrics and Child Health uses any information you give to us and the way we protect your privacy and to comply with UK Data Protection legislation.

Why do we collect your personal information?

We collect and process your personal data when you complete our sign up form to learn about the development of clinical guidelines, or  participate in consultation on the development of guidance documents. The legal basis for doing this is:

  • "Legitimate Interest” – where we have assessed that the benefits of us processing your data are legitimate and not outweighed by your interests or legal rights.

We process personal data for the following purposes:

  • To contact you with information about upcoming clinical guidelines development work and offer you the opportunity to participate
  • To inform you about upcoming training events related to clinical guideline development work
  • To support the College’s work on guideline development to ensure that all guidelines are produced to the highest of standards and contain input from those who use the guidelines such as yourself.
  • To be able to identify the source of consultation comments.

Who might we share your information with?

Your contact details will be shared within the Research & Evidence team, Officer and Clinical Leads, where necessary and in our legitimate interests, to facilitate communication, collaborative working and meeting organisation.

How long do we hold your information for?

We put security measures in place to ensure that your information is securely stored. 

We will keep your personal data for the duration of your participation in clinical guideline development communications. We will then dispose of your information by securely deleting all the data you have provided for the purposes of this project from our systems.

Transferring information outside of the UK

To provide some products and services we, or our data processors, may transfer and process information in countries outside of the UK. Some of these countries, such as those in the EEA, will have an officially recognised equivalent level of protection to the UK (adequacy decision). A list of these countries can be found via the ICO website. Where there is no adequacy decision, we will take all reasonable steps necessary to ensure that your information is protected by having in place a recognised safeguard with our partners and suppliers, such as regulatory approved Standard Contractual Clauses, Binding Corporate Rules or Codes of Conduct.
