Privacy notice - Survey about MindEd resources on gender dysphoria

We are conducting a survey among College Tutors about the NHS England resources on gender dysphoria, which are published on MindEd. This privacy notice explains how RCPCH uses any information you give to us in the survey and the way we protect your privacy and comply with UK Data Protection legislation.

Protecting your privacy and personal data is of paramount important to us and your data will be handled with the utmost care and confidentiality. 

What information do we collect about you?

All personal details we collect will come from you. We request your email address at the end of the survey if you consent to being contacted for further discussion, as well as providing free text boxes into which you could enter potentially identifying information. If you would not like to provide your email, you are not required to do so.  

We sometimes also receive your personal data indirectly from the following sources:

  • Your email address from the Microsoft Form process

Why do we collect this information?

Data protection law requires that we have a lawful basis to process your information. For this project the basis is:

  • “Legitimate Interest” – where we have assessed that the benefits of us processing your data are legitimate and not outweighed by your interests or legal rights.
  • Consent – where you provide your email address in the relevant field, this indicates your consent to be contacted further.  If you wish to withdraw your consent, please contact us at qualityandtrainingprojects@rcpch.ac.uk

Once you have submitted the form and your feedback, we will process your personal data to understand the quality of information available on gender care, and develop further resources.

If we later decide to publish the results of the survey, we will only publish anonymised aggregated data.

If you no longer want your feedback to be used, you can opt out by 5 July 2025 by contacting qualityandtrainingprojects@rcpch.ac.uk

Who might we share your information with?

We will share the results of the survey internally only with the relevant College teams which include Policy, Training and Quality and the President’s Office to enable us to know if we should be promoting the MindEd resource.

How long do we hold your information for?

We put security measures in place to ensure that your information is securely stored.

We will keep the feedback you have provided for the case of this consultation for six months. We will only retain your information to allow for RCPCH to analyse and integrate the feedback you have provided into any recommendations for future improvements. We will then securely delete your contact information.

Transferring information outside of the UK

To provide some products and services we, or our data processors, may transfer and process information in countries outside of the UK. Some of these countries, such as those in the EEA, will have an officially recognised equivalent level of protection to the UK (adequacy decision). A list of these countries can be found via the ICO website. Where there is no adequacy decision, we will take all reasonable steps necessary to ensure that your information is protected by having in place a recognised safeguard with our partners and suppliers, such as regulatory approved Standard Contractual Clauses, Binding Corporate Rules or Codes of Conduct.
